We are requesting proposals from qualified bidders who are interested in assisting in the site set-up, operations and tear-down of The Festival site - Maffeo Sutton Park and Swy-A-Lana Lagoon from Thursday July 6th, 2017 until Monday July 11th, 2017.
The successful group will require a Team Manager who will liaise with NDBFS Site Manager to tour site¬†before the Festival, to coordinate a schedule with other volunteers to ensure all site needs are¬†accomplished, as scheduled and as directed. The successful group will be on site throughout the set up and¬†take down as well as the operation period of the Festival in some capacity, as scheduled.

Note: "Persons" noted on Site People Requirements ¬†section of the RFP can be one or more members, working in shifts. The Team Manager would need to work with Site Manger to create a schedule to ensure the shifts allocated cover the total time/persons needed on site during the Festival.
Volunteer Centre:¬†You will use your organization and communication skills to help support the volunteers: you may help with signing volunteers in and out, distributing volunteer vests, give quick orientations to the site needs, and assist in volunteer placement.¬†Must enjoy working with the public, good at problem solving, have good communication and organizational skills.¬†
Information Booth:¬†Greet and assist paddlers and public and answer questions about festival, the community of Nanaimo, and Dragon Boat racing. Responsibilities include updating race results, and accepting donations from the public. Must have knowledge of Nanaimo, good communications skills, and enjoy working with the public.
Team Registration:¬†Assist with team registration, assignment of tents, and distribution of registration materials. Must enjoy working with the public, be good at problem solving, and have good communications skills.
Party Crew:¬†Help with set-up and take down of Paddler‚Äôs Party, staff the party. Be ready to be a team player, have fun, and provide enthusiastic assistance! Must be over 19 years of age.
Candle Ceremony:¬†You will sell and assist with lighting¬†the candles¬†for the unforgettable Candles for Courage ceremony. It won't be difficult to find people to participate in this beautiful sunset ceremony on the lagoon.
Carnation Ceremony:¬†You will sell the carnations for the ceremony of survivor teams who lash their boats together and wave their carnations in the air in time to inspirational music. On land, supporters wave their carnations to the survivors. During the ceremony, you will also provide tissues.
Opening and Awards Ceremonies:¬†You will assist with set-up and dismantling of ceremony venues. Duties include assisting and serving local dignitaries, explaining the meaning of ceremonies, and maintaining order throughout the ceremony.
50/50 Team:¬†You will work with a team to sell 50/50 tickets throughout the event. You will be kept on your feet, moving through the crowds, so you need lots of energy and great people skills. Must be over 19 years of age.
Merchandising:¬†You will assist merchant to sell and merchandise Dragon Boat souvenir merchandise. You must enjoy working with the public. Past retail/sales experience and ability to work with money is an asset.
Fundraising:¬†You will assist the fundraising team at events held throughout the Festival weekend. Use your great sales and communication skills to raise funds for treatment and survivor support.
Site Set-up/Take-down:¬†Set-up and take down site ‚Äď the day before and at end of Festival.
Site Maintenance:¬†Under the direction of the site manager, you will perform all duties that maintain site operations. This means recycling and garbage control, keeping washrooms stocked, delivering supplies, setting up and taking down event structures. You should be physically fit, have lots of positive energy, be a team player, and be able to take direction.
Security:¬†You will assist professional team to provide security for paddler's village, docks, and various events. Must remain calm in stressful situations, be physically fit, be assertive, and have good communication skills. Must be over 18 years old.
Race Marshals:¬†You will lead the teams from the Paddler's Village to the docks at race time. You will need courteous and firm communication skills to make way for the team.
Race Results Runners:¬†You will be responsible for delivering race results from the timing tent to the Paddler's Village and to the Information Booth. You must be energetic and physically fit to handle the tasks, and have good communication skills.
Dock Crew:¬†Volunteers will assist the racing teams with their vessels on the docks. You should be comfortable around boats and water. You should be a team player and be physically able to handle boats coming into the dock. It is a good idea that you are able to swim.
